About the Position
The Business Project Manager IV, reports to the EVP, People & Purpose and is key in supporting the business unit and broader organization. This role plays a pivotal role in maintaining a productive and positive work environment, supporting executive functions, and managing key projects and events effectively. A key focus for this position is to significantly ease the burden on the Great Place To Work® Events Team, allowing them to focus on the strategic aspects of event planning and execution. This role will require in-office commitment 4-days/week and may be required to travel to locations throughout the East Bay, North Bay, and South Bay Areas to work.
This position is responsible for a wide range of duties, including project management, team member engagement, event support & coordination, office experience, procurement, and executive support. This role requires a dynamic individual who can seamlessly integrate into the team and contribute to the overall success of the People & Purpose business unit, and promote a culture of collaboration, inclusivity, and engagement among team members that aligns with Our Values, 10 Ways, and internal and external brand. The ideal candidate will be highly organized, proactive, and capable of managing multiple tasks simultaneously – in a rapidly changing environment, while maintaining a high level of professionalism, impeccable judgement, leadership.
Project Management & Team Member Engagement
Oversee the planning, initiation, and execution of various projects in alignment with organizational goals.
Manage resources effectively to ensure projects are completed on time and within budget.
Maintain clear and consistent communication with stakeholders, from across the business at all levels, to keep them informed of project progress and any issues that arise.
Prepare reports, presentations, and other deliverables as needed for executive and/or various team meetings and projects.
Partner with Employee Experience Team to deliver on new hire and ongoing team member programming (celebrations, recognition, hospitality, etc.).
Event Management & Support
Assist the Events Team, as needed, with event coordination activities for internal and customer events including, but not limited to:
pre-post event shipping and storage, preparing and organizing event-related documents, managing communication with attendees, on-site support, logistics coordination, technical support
Partner to Employee Experience team, Employee Resource Groups, Committees and the like for in-office events, gatherings, celebrations.
Point of contact for coordinating with and managing vendors for catering, venue setup, and other event-related services for internal events.
Manage event budgets to ensure cost-effectiveness without compromising quality.
Office Experience & Procurement
Ensure the office environment is well-maintained, safe, and conducive to productivity.
Point of contact for all building and office related activities and matters.
Oversee administrative tasks such as filing, data entry, and office supply management.
Develop, enhance, and manage all facility-related policies and procedures to maintain order and efficiency, in alignment with all UKG, Great Place To Work, and regulatory guidelines.
Procurement of office supplies, equipment, and other items in partnership with internal stakeholders.
Negotiate contracts with vendors to secure favorable terms and conditions.
Establish and maintain relationships with suppliers and vendors to ensure the best quality and pricing.
Executive Support
Manage meeting scheduling, expense management, and travel arrangements for People & Purpose business unit, appointments, and travel arrangements.
Act as liaison between Chief of Staff and People & Purpose as required.
Plan and execute high-level events, including corporate meetings, conferences, and social gatherings.
Prioritize and respond to emails, phone calls, and other communications on behalf of the business and EVP, People & Purpose.
Required Qualifications
5-7 years’ experience in office concierge, management, office administration, or executive support.
3-5 years’ experience leading projects, coordinating logistics, and managing multiple stakeholders.
Demonstrated experience providing administrative support to executives including calendar management, travel arrangements, and correspondence.
Proven ability to engage and motivate team members, often demonstrated through previous leadership or supervisory roles.
Facility Management experience – including office environment, security protocols, and safety standards.
Experience in sourcing and purchasing supplies and managing vendor relationships.
Background in providing high-level administrative support to executives.
Experience planning and executing events, managing budgets, and coordinating with various service provider.
Skills in planning and managing events, from small meetings to mid-sized gathering and coordinating service provides and stakeholders at various levels.
Highly proficient in Microsoft Office 365, SharePoint, PowerPoint, Smartsheet, event management software, Salesforce, Concur, DocuSign.
Preferred Qualifications
Exceptional at effective verbal and written communication – understanding how to prioritize and curate messages for mixed audiences.
Ability to handle multiple tasks simultaneously without compromising quality, impact, or outcome – and can quickly and efficient resolve an issue.
Skilled at time management – understanding priority and sequence of tasks and business needs, and meets timelines as expected.
Impeccable judgement and decision-making ability, knowing when to escalate or request assistance.
Excel at building and maintaining strong relationships with team members and stakeholders.
Organized – yet adaptable, agile, responsible mindset – able to handle changing priorities and unexpected challenges.
Excels in both individual and team-based work.
Postured for learning – behaviors, concepts, modalities, applications are a plus.

The pay range for this position in Colorado, New York, Washington, and California is $96,900 to $139,300, however, the base pay offered may vary depending on skills, experience, job-related knowledge, and location. This position is also eligible for a short-term incentive and a long-term incentive as part of total compensation.
